Most people don’t lose time in big chunks. It’s in the transitions and many small tasks that add up:
- replying to the same questions
- sending links manually
- going back and forth to schedule a meeting
- explaining “what happens next” over and over
On their own, each task seems quick.
But throughout the day, they quietly take up hours each week.
I recently helped a client whose time was going into these small steps around manually scheduling meetings and onboarding new clients. Her attention had to jump back to these tasks throughout the week as they came up to stay on top of routine client communication.
So we simplified it.
Instead of multiple emails to confirm a meeting time that would work for both people, we set up:
- one clear place to book meetings that fits around existing appointments
- an automatic confirmation that included the Zoom meeting link and how to prepare for the meeting
- fewer decision points while eliminating back-and-forth messages
For another client, instead of manually needing to send a welcome email after someone purchases her course, we set up:
- an automatic onboarding email with key information
- a monthly reminder email when payments are made
- a link in the email to automatically add meetings to their calendar
It freed up so much time and mental energy. She no longer needs to check that these routine tasks are done.
Was the “human” aspect removed from her client experience?
Only the parts that led to delays or missed steps.
The result is a smoother, reliable experience for both her and her clients.
Here’s something you can try:
Think of one thing you do repeatedly each week and ask:
Could this be a template that can be reused or an automated step?
Examples:
- a booking link instead of scheduling over email
- a saved reply for common questions
- a short “what happens next” message
- connecting your payment system so that a welcome email is sent automatically
You don’t need to overhaul every task. But removing even one repeated step can ease the mental load and make your days feel noticeably lighter.
