If you find yourself writing the same kinds of emails over and over, whether for work, volunteer roles, or just life, check out Gmail templates. It’s an easy way to save time drafting an email while still keeping things personal.<\/p>\n

Note:<\/strong>\u00a0Gmail templates are only available on the web version of Gmail. This feature is in the mobile app but I\u2019ll share workarounds at the end to use templates on your phone.<\/p>\n

<\/p>\n

Here\u2019s how to set them up:<\/p>\n

<\/p>\n

First, turn on templates in your Gmail settings:<\/strong><\/p>\n

  1. Click the gear icon\u00a0(\u2699\ufe0f) \u00a0in the top right corner of Gmail.<\/li>\n\n
  2. Select\u00a0\u201cSee all settings.\u201d<\/strong><\/li>\n\n
  3. Navigate to the\u00a0\u201cAdvanced\u201d<\/strong>\u00a0tab.<\/li>\n\n
  4. Find the\u00a0\u201cTemplates\u201d<\/strong>\u00a0section and click\u00a0\u201cEnable.\u201d<\/strong><\/li>\n\n
  5. Scroll down and click\u00a0\u201cSave Changes.\u201d<\/strong><\/li>\n<\/ol>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

    Next, create your first template:<\/strong><\/p>\n

    1. Click\u00a0\u201cCompose\u201d<\/strong>\u00a0to open a new message window.<\/li>\n\n
    2. Write your email as you normally would including a subject line and message. If Gmail automatically adds your signature, delete it from this draft as it will be included when you use the template later.<\/li>\n\n
    3. Click the three vertical dots in the lower-right corner of the message window.<\/li>\n\n
    4. Hover over\u00a0\u201cTemplates\u201d<\/strong>, then select\u00a0\u201cSave draft as template\u201d \u2192 \u201cSave as new template.\u201d<\/strong><\/li>\n\n
    5. Give your template a name. This will be the subject line when you use the template.<\/li>\n<\/ol>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

      To use the template:<\/strong><\/p>\n\n

      1. Click\u00a0\u201cCompose\u201d\u00a0<\/strong>to start a new email.<\/li>\n\n
      2. Click the three dots in the lower-right corner.<\/li>\n\n
      3. Hover over\u00a0\u201cTemplates\u201d<\/strong>\u00a0and choose the template name.<\/li>\n\n
      4. The email will populate. Customize it as needed then hit \u201cSend\u201d.<\/strong><\/li>\n<\/ol>\n\n

        Workarounds on your phone:<\/strong><\/p>\n\n

        Creating templates this way\u00a0is specific to the web version of Gmail. However, an easy workaround is to save frequently used email text\u00a0in your Notes app on your phone to copy and paste. An alternative is to keep pre-written emails as drafts and duplicate\/edit them before sending.<\/p>\n\n

        Setting up templates for follow-ups, client onboarding, or meeting confirmations will save you time every day.
